Public A1. The Committee received a request from the Chairman for reimbursement in elections: voter the sum of £108.72 to meet the cost of 10,000 business cards advertising the turnout and website www.vote.je.

campaign The Committee recalled that it maintained the website as a public information 2014. service in connexion with States of Jersey elections and noted that the business 424/2(93) cards would be distributed to schools, organisations and businesses to advertise the
site. The Committee agreed that the Chairman should be reimbursed as requested.
On a related matter, the Committee considered the timetable for the upload of candidates' manifestos to the vote.je website. The Committee agreed that persons who had declared their intention to stand for election should be permitted to upload their photograph, contact details and any related media links to the website from 1st September 2014. Manifestos should then be able to be uploaded to the site following the nomination meeting. It was agreed that prospective candidates should be made aware of the deadline for uploading their manifestos as soon as possible via news releases and social media.
On a further related matter the Committee noted that the Chairman had arranged to meet with the Jersey Chamber of Commerce to discuss their proposals to raise awareness among the business sector of the forthcoming elections. Consideration was being given to the running of a campaign to encourage businesses to allow staff 15 minutes off work to vote. The Committee requested that the Chairman write to the Chief Executive of the States of Jersey to ascertain whether the States might be interested in running a similar initiative for staff. The Committee Clerk was requested to take the necessary action.

lunches. The Committee noted the draft response of the Chairman which advised that, while 1240/9/1(137) the States had decided to cease the use of Snow Hill car park by members, parking
was available in two other public car parks. It was noted that States members' lunches on States days had been stopped as a result of a vote in the Assembly. While the Committee had no plans to propose any changes to the parking provision or to re-instate lunches at the present time, it was agreed that it would welcome members' views on both of these matters.
The Committee, having considered the Chairman's draft response to the question and agreed certain amendments, requested that the answer be tabled before the States forthwith. The Committee Clerk was requested to take the necessary action.
Members' A3. The Committee received an oral report from Senator S.C. Ferguson facilities: regarding matters raised during a recent Chairmen's Committee meeting in access to connexion with members' facilities and access to information.

1240/9/1(137) The Committee noted that, during the course of their work, members of Scrutiny
received a large number of documents via electronic mail or in hard copy. The Chairmen's Committee was of the view that it would be beneficial for such documents to be held on a Cloud server where they could be accessed by members remotely. The Committee was requested to ascertain whether this could be achieved in early course as it was considered that this approach would be beneficial for all States members, including members of Scrutiny.
The Committee agreed that the Chief Minister and a representative from Information Services should be invited to attend the Committee's next meeting to discuss the available options. The Committee Clerk was requested to take the necessary action.
